Office Manager and Project Assistant

This position can be 25-40 hours/week depending on your availability. We are looking for someone to help us with daily administrative & financial tasks as well as assist with project development, sales, and management along a number of different types of design/build and home performance projects.

We are dispersed across a 1-1.5 hour radius, so a willingness to travel within central and northern Vermont as well as a comfort with phone, email, text and other forms of virtual communication is a must. In this position, the ideal person would help us with daily administrative & financial tasks as well as assist with project development, sales, and management along a number of different types of design/build and home performance projects.

Core Responsibilities:

General office management - approx. 6 hours/week

Receiving & sorting mail
Filing
Maintaining clean & stocked offices
Maintaining all computer, phone, internet, software and hardware
Managing insurance - paperwork and audits
General correspondence & requests from internal team
General correspondence & external requests, including responding to initial sales inquiries
Assist the managers and board with tasks

Financials - approx. 9 hours/week

Daily bookkeeping, including:
Processing & paying bills
Allocating & reconciling costs to jobs
Quickbooks Online updating & categorizing
Deposits
Managing credit accounts
Managing & tracking inventory
Creating financial reports for Management Team

Project Development & Project Management - approx. 2 hours/week

Assists with estimating and planning process for developing projects, as needed.
Assists Project Managers with tasks as directed

Policy/Advocacy/Research/Marketing - approx. 4 hours/week

Assist with blog post generation & other website tasks as needed
Assist with code/regulatory/trades/legislative efforts
Product research
Vendor networking
Materials sourcing

Product Sales & Management Assistant - approx. 4-8 hours/week

Assist with Gryphon Doors pipeline
Sales & quote production for both custom & standard lines
Assist with design development & research
Certifications
Performance data development
Marketing
Website upkeep
Trade shows
Assist with blog postings
Invoicing and shipment setup

Overall company participation - approx. 1 hour/week

Participates regularly in quarterly All-Company Meetings to help steer direction of company and is an active member of the Admin Committee.
Assists with logistics for quarterly All-Company Meetings.
Participates actively in interdependent, team-focused company culture.

Required Skills:

Quickbooks Online

Experience with building trades and home performance work a plus

Compensation package:

Part time option: 25-30 hours/week, salary range $26,355-34,638. Pays biweekly based on hours actually worked.
Full time option: 40 hours/week, salary range $42,168-46,184. Pays biweekly based on actual hours worked.
Position has a 3-6 month trial period with review at 3 and 6 months to ensure a good mutual fit.
Vision and dental insurance provided, 100% paid by company.
Profit sharing at the end of the fiscal year. Amount is based on ownership percentage.
Workers Compensation coverage (standard).
AFLAC coverage (some paid by company, some elective/additive on company plan, deducted from member’s paycheck as desired)
40 hrs paid time off.
$200/year pp for personal tool or tech allowance.
